Two modules that cover the whole clinic day

Tricho-Assist has two main parts: Clinic, where patients and assessments live, and Calendar, which sets out your working schedule. Everything else extends those two - deliberately, because a simple layout here is a design decision, not a gap.

01 / Architecture

Four levels your clinic works on

Assessment
Trichoscope images, notes, recommendations and attachments gathered in one dated entry. It is the smallest complete unit you can later compare with another.
Patient
A profile with contact details and an initial case history, plus a chronological list of that patient’s assessments. The patient is the record; each assessment is an entry in it.
Trichologist
Your group of patients, your assessments, your calendar and your statistics. At any given moment a patient is assigned to one specialist.
Tricho-Assist
The group of trichologists and the services that connect them: case referral, integrations with the laboratory, the calendar and OpenAI models, and features developed together.

01

Patients

Search by part of a first name or surname, a list of recent additions and a separate archive pool. The summary above the list shows how many were found and how many there are in total.

02

Appointments

Today’s schedule and a list of the last 40 completed assessments. From a scheduled appointment you create an assessment in one click, with the date and the patient filled in.

03

Messaging

An email or a text message to every patient, to a selected group or to a randomly chosen one. You can also copy the list of addresses into your own email client.

04

Statistics

The number of assessments carried out, broken down by week, month and year - counted from the data your work produces anyway.

The patient record and the initial case history

The record starts with contact details and a photograph. A comment field lets you describe the patient in your own words, and that description then appears under the name in the details view. The ‘flagged’ toggle makes the record stand out in search results.

The initial case history comes in two forms:

  • Standard - around 34 questions developed in consultation with users of the system and in line with the guidelines of Polskie Stowarzyszenie Trychologiczne (PST, the Polish Trichological Association). You answer with a sentence, a longer description, a single choice or several.
  • Custom - you define the questions, their type and the possible answers. The two forms can coexist.

Questions you don’t use don’t have to be deleted - hide them with the eye icon and bring them back whenever you like.

The assessment: notes, recommendations, images

An assessment starts with a title - it appears in lists, so it should say what kind of visit it was (‘First appointment’, ‘Follow-up’). The assessment notes stay inside the system, for you and for the specialist you may refer the patient to.

The recommendations are the part that goes out to the patient: by text, by email or as a printable PDF. The field has a character counter, because the length limit for a text message is set by the mobile network - go over it and the content still saves as normal, but the text message will not go out. A lab test panel can go out together with the recommendations.

Images reach an assessment in two ways: as a file attachment or straight from the trichoscopy camera, with a full-screen preview and capture on the space bar. You can also attach an invoice as a PDF.

Comparing visits

In the patient’s list of assessments you tick the ones you want to set side by side. The system shows them in three groups: assessment notes, recommendations and images. The images line up in columns, in the order you selected them.

The best number of assessments for one comparison is two or three - beyond that the images get too small to show anything.

Case referral

When a case needs a second pair of eyes, you can hand the patient over, with their profile and the full set of assessments, to another specialist registered in the system. Pick them from the list or find them with the search box.

At any given moment a patient is assigned to one trichologist - a referral is a transfer of care, not a copy of the record.

GDPR and the patient’s signature

The patient signs the data processing clause in the application - with a finger on a touchscreen, with a stylus on a tablet or with a mouse. A copy of the signed clause goes by email to the patient, to you and to the system administrator.

The next time you open the tab you can see that the document is already signed, and you can check the previous signature. Updating it is possible, but it overwrites the old signature for good, so the system asks you to confirm.

Archiving instead of deleting

Patients who have stopped coming don’t have to clutter your working list. Moving them to the archive keeps them out of your search results, keeps the full set of data and can be reversed at any time.

Deleting a profile is possible, but it cannot be undone and it takes with it every assessment, attachment and invoice belonging to that patient - which is why it has to be confirmed twice.

03 / Calendar module

A schedule that reminds you about tomorrow

The calendar is a grid: time down the left, days across the top, three views - day, week and month. You create an appointment by clicking where the hour meets the day; the date and time fill in on their own, and all that is left is to pick the patient. The system points out a slot in the past as a likely mistake.

Appointments are live tiles: click one for the details, drag it to change the day or the time, stretch its edge to change how long it lasts. Every change syncs with Google Calendar. Between 18:00 and 19:00 your next day’s schedule arrives in your inbox.

04 / Online booking

A scheduler that works outside clinic hours

TriBooks
A separate online booking system for your clinic. You publish the slots you have free and the patient picks one - no phone call, no agreeing a time over messages. The TriBooks login is in the header of this page.
A widget for your clinic website
The same scheduler as a script you embed on your own website or your social media profile, or share as a link. The patient books with you, not after being redirected to a third-party site. A four-step booking flow takes them through service, time, details and summary.
No appointments to retype
A booking drops straight into your calendar in the software, so there is nothing to synchronise by hand. The patient books at any hour, including when the clinic is closed - and the widget works the same on a desktop, a tablet and a phone. The details are in the post about the booking widget.
05 / Data and access

Where your data sits and what you need to start

Two data centres

Your records go to the cloud in Gdańsk and in Wrocław. Nothing sits only on the hard drive of the computer in your clinic.

Servers in Poland and the EEA

Data never leaves the European Economic Area. All transmission runs over an encrypted HTTPS connection.

Nothing to install

The system runs in a browser on Windows, macOS and Linux. There is nothing to install or configure in the clinic.

What you need

An internet connection, an up-to-date browser with cookies and JavaScript enabled, and - for images - a trichoscopy camera.
